Lost key forms are used for residents in University owned or managed accommodation as well as Conference guests. Data is collected either: at the Accommodation Office Reception or by Security Operatives at the Main Campus Reception, on a Lost Key Form.
The data collected will include (but is not necessarily limited to): full name, contact details, Aberystwyth University username, address of university residence / room, signature, event name.
Personal data collected in this process is not shared with anyone outside Estates, Facilities & Residences other than the Conference Office (where applicable).
The data is kept for up to 12 months locally and for a further 3 years in the Aberystwyth University Archives.
Lawful basis: Consent / Contract.
